Job Purpose: Support the Income Tax Division by helping run an efficient mail, scanning and filing service. You will work as part of a team to make sure incoming and outgoing documents are handled quickly and accurately, helping different teams access the information they need.
Duties
- Open and sort all incoming mail for the Income Tax Division.
- Log and send physical mail to the correct team or officer using the tax system.
- Log and refer incoming emails to the correct team or officer.
- Print, prepare and envelope outgoing mail using mail-handling machinery.
- Scan and archive documents so records are stored correctly.
- Record the receipt of tax returns.
- Maintain and organise the filing system using a terminal digit filing method.
- Track and update file locations using the file tracking system.
- Return files to the main filing system when required.
- Update client addresses when mail is returned from previous addresses.
- Help with the calculation and processing of cheque information.
- Collect and sort outgoing mail ready for sending.
- Assist with safely disposing of confidential documents.
- Help with office accommodation changes, including moving equipment or furniture when needed.
- Support other team tasks and help colleagues during busy periods.
- Complete any additional duties assigned by the Support Services Operational Manager.
Essential Skills
- Basic computer skills and familiarity with Microsoft Office.
- Good organisational skills and ability to manage large volumes of mail.
- Comfortable working to deadlines during busy periods.
- Numeracy skills and ability to manage item lists and filing systems.
- Ability to operate office equipment such as scanners and printers (training available).
- Able to make sensible decisions and think ahead.
- Ability to work independently when required.
- Accurate and reliable approach to work.
- Flexible attitude and ability to adapt to changing priorities.
- Friendly and helpful manner with strong customer service focus.
- Self-motivated and enthusiastic.
- Able to maintain confidentiality and handle sensitive information.
- Physically able to carry out tasks such as handling files and mail.
Desirable skills
- Previous experience working in an office environment.
- Experience handling mail or document processing.
- Knowledge of office equipment such as copiers, scanners or printers.
- Isle of Man Worker status.
