Job Purpose: Provide high-quality secretarial and administrative support to clinical teams, ensuring work is completed accurately and on time while helping the team stay organised and efficient.  

Duties  
- Manage and prioritise workloads to meet deadlines without supervision
- Provide full secretarial support including typing letters (audio and copy), reports and documents
- Use IT systems (e.g. MEDWAY, Word, email) to manage patient and clinical information
- Organise diaries, meetings and appointments, including taking notes and preparing minutes
- Communicate with clinical staff to ensure smooth day-to-day operations
- Handle phone calls professionally, giving clear and supportive information
- Maintain accurate filing systems (digital and paper)
- Ensure clinical information and records are updated correctly and on time
- Liaise with wards regarding patient admissions and discharges
- Arrange transport and support for patient appointments
- Support and supervise junior admin staff, including training new starters
- Help with general office tasks such as sorting post and covering team absences
- Work across different departments when needed to support service delivery
- Step in for senior staff when required

Essential Skills
- Strong IT skills (Word, Outlook, Excel, databases)
- Excellent typing speed and accuracy (including audio typing)
- Good organisation and time management skills
- Clear communication and people skills
- Ability to work under pressure and meet deadlines
- Strong customer service skills
- Ability to work independently and as part of a team
- Reliable, flexible and willing to learn

Desirable Skills
- Experience in a medical or clinical admin role
- Knowledge of medical terminology
- Experience working with the public
- Understanding of patient processes within healthcare
- Advanced qualifications in typing, audio transcription or admin
