Job Purpose: Provide comprehensive secretarial and administrative support for clinical specialties at Noble’s Hospital and Ramsey & District Cottage Hospital, including accurate copy/audio typing, office coordination, and responsive communication with patients, staff, and external services.
The Duties
- Type clinical and non-clinical documents (copy & audio), including medical reports for legal use.
- Draft routine correspondence, memos, letters and reports.
- Maintain filing systems; handle confidential investigation results and prioritise test results for clinicians.
- Arrange meetings and prepare papers.
- Answer calls, route enquiries, process and distribute mail; liaise with clinical teams, wards, other departments and hospitals; support anxious patients/relatives sensitively.
- Keep the Office Guide up to date; raise issues promptly with the Senior Secretary/Coordinator.
- Provide relief/cover across the secretarial team and, when required, across multiple specialties to meet BMA letter-typing timelines.
- Undertake any other appropriate duties to support a high-quality clinical administration service.
Essential Skills
- Strong audio and word-processing accuracy; good IT skills (especially word processing).
- Clear customer service and communication skills; effective team working.
- Ability to prioritise workload; good organisational and interpersonal skills.
- Attention to detail; able to maintain confidentiality and discretion.
- Calm under pressure; enthusiastic about learning new skills; flexible to cover other teams when needed.
- Acceptable external text-processing qualification (or Civil Service Typewriting Grading Test).
- Satisfactory Police Check.
Desirable skills
- GCSE English Language (Grade C/4+) or equivalent.
- Qualification in audio transcription (or Civil Service Audio Transcription Grading Test).
- Experience in a busy office and prior secretarial experience.
- Knowledge of medical terminology; flexible approach to multi-tasking.
- Friendly, professional and confident manner; Isle of Man Worker.
