Job Purpose: Provide secretarial and administrative support to the Isle of Man Safeguarding Board and its business team. You will help organise meetings, prepare documents, maintain records and support the smooth day-to-day running of the Board.
Duties
- Organise and maintain a schedule of Board and subgroup meetings.
- Prepare and circulate agendas and meeting packs.
- Attend meetings, take accurate minutes and update action logs.
- Book meeting rooms and venues.
- Help organise and co-ordinate the annual safeguarding conference and collect feedback afterwards.
- Monitor the shared inbox and direct enquiries to the appropriate person.
- Prepare and circulate correspondence.
- Answer telephone enquiries and meet and greet visitors.
- Arrange travel, accommodation and transport when required.
- Process invoices and deal with related queries.
- Use Microsoft Word, Excel, Outlook, PowerPoint and Teams.
- Upload documents and help keep the Safeguarding Board website up to date following training.
- Assist with updating the Board's social media under the direction of the Business Manager.
- Provide general administrative and secretarial support to the wider team.
- Maintain strict confidentiality when dealing with sensitive information.

- Satisfactory police check.
Desirable Skills
- Five GCSEs at Grade C/4 or above, or equivalent.
- Relevant experience working in an administrative office environment.
- Experience taking minutes at formal meetings.
- Experience using a range of IT media.
- Understanding of Isle of Man Government.
- Isle of Man Worker status.
