Job Purpose: Support the Recruitment Team by completing accurate recruitment administration, with a focus on issuing offers and onboarding new starters across the Isle of Man Public Service.   

The Duties:   
- Support the efficient day-to-day running of the Recruitment Team within the Office of Human Resources.
- Produce accurate offer letters, contracts and confirmation of start dates, balancing speed and quality.
- Support candidates and hiring managers through pre-employment checks to ensure timely appointments and a positive onboarding experience.
- Manage and prioritise your workload to meet payroll deadlines, including chasing candidates for outstanding information.
- Run the recruitment administration process once a verbal offer is made, including references, offer packs and contracts, and liaising on work permits and immigration where required.
- Monitor applicants under offer and proactively chase outstanding paperwork to keep recruitment moving.
- Provide regular updates to hiring managers, managing expectations and challenging appropriately when needed.
- Deal with frequent enquiries in person, by phone, email or letter.
- Support reception queries when required, including scanning and processing incoming pre-employment check documents.
- Send confirmation of appointment emails once pre-employment checks are completed.
- Occasionally act as an independent panel member for shortlisting and interviews.
- Work accurately and follow data protection guidelines, policies and frameworks.
- Support colleagues and complete other duties requested by the Recruitment Management Team.
- Commit to self-development and be open to change and new ways of working.

Essential Skills  
- Experience in a customer service role.
- Great IT skills, including Microsoft Office.
- Ability to learn, use and switch between online systems efficiently.
- Excellent organisational and time management skills, including re-prioritising work.
- Excellent communication and interpersonal skills.
- High accuracy and strong attention to detail.
- Ability to work under pressure and manage competing deadlines.
- Confidence to have open conversations, address issues and challenge appropriately.
- Professional, credible and able to build supportive working relationships in a large team.
- Self-motivated with the ability to use initiative and take appropriate, controlled risk.
- Logical and analytical approach with the ability to make considered decisions.
- Ability to learn new information quickly and support change and innovation.

Desirable skills  
- 5 GCSEs at Grade C or above, including English Language, or equivalent.
- Experience working within an HR or recruitment environment.
- Experience working in an office environment.
- Isle of Man Worker status.
