Job Purpose: Provide a welcoming, professional and confidential reception and administrative service for Manx Integrated Sexual Health, ensuring patients receive high-quality support and helping the clinic run smoothly and efficiently.  

Duties   
- Welcome patients and provide a friendly, professional first point of contact.
- Book in patients and manage appointments, cancellations and rescheduling.
- Answer telephone enquiries, respond to voicemails and direct patients appropriately.
- Handle sensitive enquiries with empathy, discretion and a non-judgemental approach.
- Follow booking and triage procedures to ensure patients are seen by the right clinician.
- Create and update patient records accurately using electronic systems.
- File, scan and retrieve patient records and correspondence.
- Monitor and respond to emails and manage incoming and outgoing post.
- Keep the reception and waiting areas clean, tidy and welcoming.
- Carry out general administrative tasks including photocopying, printing, scanning and preparing documentation.
- Support archiving and confidential document shredding.
- Build positive working relationships with colleagues and contribute to effective teamwork.
- Provide cover for evening clinics, Saturday rotas and staff absences when required.

Essential Skills
- Professional, calm, empathetic and non-judgemental approach when dealing with sensitive situations.
- Ability to multitask and prioritise work in a busy reception environment.
- Confident using Microsoft Office and able to learn new computer systems.
- Clear and effective written and verbal communication skills.
- Excellent organisational skills and strong attention to detail.
- Reliable, conscientious and self-motivated.
- Ability to maintain confidentiality and discretion at all times.
- Able to work independently and as part of a team.
- Flexible and adaptable approach to work.
- Calm under pressure and able to deal with challenging situations.
- Willingness to work at least one evening clinic each week and participate in Saturday rotas.

Desirable Skills
- Three GCSEs at Grade C (4) or above, including English Language or equivalent.
- Experience working in a busy reception, medical or customer-facing environment.
- Experience in healthcare administration or a similar setting.
- Isle of Man Worker status.
