Job Purpose: Provide a front-line telephone and reception service for the Community Wellbeing Service, and deliver efficient administrative and secretarial support to the Counselling & Therapies team, helping clients with mild to moderately severe mental health needs access high-quality care.  

Duties
- Provide friendly reception cover: greet visitors, manage the waiting area, handle face-to-face enquiries, and notify staff of arrivals.
- Manage incoming calls: answer queries, route calls appropriately, and take accurate messages recorded on the RiO system.
- Maintain sign-in sheets/staff boards and support Mental Health First Aid course administration.
- Enter and update client information on RiO; scan and upload documents and correspondence.
- Process mail; produce standard letters using templates; maintain stocks of leaflets, cards and stationery.
- Coordinate reproduction of service documents; respond to colleague enquiries promptly.
- Liaise with Estates on building issues; process client feedback forms.
- Uphold Health & Safety standards; identify and report issues or near misses.
- Take part in performance and development reviews; identify training needs.

Essential Skills
- No formal qualifications required.
- Basic clerical and communication skills; good oral and written communication.
- Competent with Microsoft Office; accurate data entry and strong attention to detail.
- Knowledge of confidentiality, security awareness and GDPR.
- Organisational and time-management skills; effective team worker.
- Good telephone manner; calm under pressure; friendly and confident.
- Reliable, self-motivated and flexible; excellent interpersonal, respectful and professional approach.
- Innovative, open to change; conscientious and proactive in maintaining standards.
- Satisfactory Police Check.

Desirable skills
- Experience of working in a busy office and in a confidential environment.
- Knowledge of Integrated Mental Health Service and working knowledge of RiO.
- Isle of Man Worker status.
