Job Purpose: Support the Properties and Facilities team by providing admin support, keeping systems updated, managing documents and helping ensure services run smoothly across the Department of Infrastructure.  

Duties  
- Support property and facilities managers with day-to-day admin tasks
- Update and manage the Concerto CAFM system with maintenance requests and records
- Monitor and follow up on outstanding tasks and enquiries
- Maintain accurate records of planned and reactive maintenance work
- Organise and store documents in line with data protection rules
- Scan and upload service reports and property documents
- Help manage and renew maintenance contracts with suppliers
- Process invoices, match purchase orders and support financial admin tasks
- Assist with timesheets, purchase card logs and project codes
- Maintain property and asset databases
- Provide general admin support and cover for team members when needed
- Contribute to improving processes and ways of working
- Provide updates and information to the wider team when required

Essential Skills  
- Previous office or admin experience
- Good knowledge of Microsoft Office (Word, Excel, PowerPoint)
- Strong attention to detail
- Good communication skills (written and verbal)
- Ability to work in a team and provide good customer service
- Able to work under pressure and manage workload
- Reliable, professional and trustworthy
- Able to provide accurate and timely information

Desirable Skills
- Experience in government or public sector administration
- Experience using ERP or similar systems
- Experience in property or maintenance admin
- Good organisational skills
- Ability to use initiative and make decisions
- Open to change and continuous improvement
- Isle of Man Worker status
