Job Purpose: Provide high-quality administrative support to the Medical Records Department, supporting day-to-day operations, supervising staff, and deputising for the Team Leader to ensure an efficient, confidential and well-organised service.  

The Duties:  
- Support the Medical Records team and Executive Officer with daily administrative tasks.
- Deputise for the Medical Records Team Leader when required.
- Supervise Administrative Assistants and allocate workloads effectively.
- Ensure adequate staffing levels across all work areas.
- Monitor and maintain high standards of work for self and the team.
- Provide cover for Administrative Assistant duties during busy periods or absences.
- Write, review and update departmental procedures.
- Train new and temporary staff on all departmental duties.
- Liaise with hospital staff, patients, GPs and government departments.
- Order stationery and supplies for the department.
- Support recruitment and interview processes for Administrative Assistants.
- Process patient insurance claim forms when required.
- Carry out quality assurance checks on scanning and final outputs.
- Maintain and troubleshoot scanning equipment and carry out routine checks.
- Ensure accurate electronic patient records, including merging duplicate records.
- Compile reports on scanning quality, errors and staff performance.
- Manage secure destruction of patient records in line with retention policies.

Essential Skills  
- Strong communication skills, both written and verbal.
- Good organisational skills with the ability to prioritise work.
- Ability to work independently and use initiative.
- Ability to meet strict deadlines.
- Reliable, flexible and able to work under pressure.
- Ability to motivate others and gain their respect.

Desirable Skills  
- GCSEs (or equivalent) including English Language.
- Experience working in an office environment.
- Experience supervising staff.
- Experience working with confidential records or healthcare systems.
