Job Purpose: To be the first point of contact in the Emergency Department, providing admin support and customer service to patients, visitors and clinical staff in a busy, high-pressure hospital environment. You will help manage patient records, support patient flow, and make sure the department runs smoothly 24/7.
Duties
- Welcome and support patients and visitors face to face and over the phone.
- Create and update patient records on the hospital system accurately and quickly.
- Process admissions, discharges and GP letters.
- Support patient flow by tracking patients and updating staff allocation boards.
- Monitor the waiting area and alert nursing staff to urgent or red flag symptoms.
- Provide first aid if required (after training) until clinical staff arrive.
- Act as a chaperone during patient examinations when requested.
- Handle confidential information in line with GDPR.
- Prepare reports and maintain databases, including referrals and trauma audit data.
- Manage stock, stationery and keep reception and waiting areas tidy and safe.
- Report IT, estates or equipment faults and track repairs.
- Support major incident procedures when needed.
- Deal with enquiries professionally and escalate concerns appropriately.
- Maintain rotas, annual leave and absence records for the support team.
- Record compliments and patient feedback.
Essential Skills
- Experience in customer service or healthcare setting.
- Experience working as part of a team.
- Able to work under pressure in a busy environment.
- Experience handling confidential information.
- Good organisational skills.
- Confident using computers with good keyboard skills.
- Strong communication and interpersonal skills.
- Able to use initiative and work with minimal supervision.
- Accurate, methodical and reliable.
- Friendly, flexible and self-motivated.
- Willing to learn new skills.
- Numerically confident.
- Able to work nights and weekends.
- Physically able to carry out the role.
- Satisfactory police check.
Desirable skills
- 5 GCSEs at grade C (4) or above including English (or equivalent).
- Experience working in an office environment.
- Experience in document scanning.
- Isle of Man Worker status.
