We are seeking a proactive and detail-oriented Client Services Administrator to join our small, science-led team.
Working across our three UK brands (Taxa Genomics, Pet Genetics Lab, and Mould Monitor) you will play an important role in ensuring customers receive a professional, reliable and positive experience from first enquiry through to results.
This is a varied role combining customer communication, order fulfillment, specimen reception and general administration. Because we operate in a regulated laboratory environment, accuracy, attention to detail and organisation are important, but so are warmth, common sense and good judgement.
The ideal candidate will be comfortable managing structured processes while also communicating confidently and professionally with customers.

KEY RESPONSIBILITIES
Customer Support
* Respond to customer enquiries via email in a timely and professional manner
* Answer general calls to the Taxa Genomics phone line
* Escalate scientific queries appropriately
* Ensure enquiries are handled clearly, consistently, and courteously
* Monitoring automated responses and ensuring they are appropriate and within guardrails
Order Processing and Fulfillment
* Process and dispatch customer orders accurately and efficiently
* Prepare and check outgoing testing kits
* Manage returns and replacements where required
* Maintain clear records within our order systems
Specimen Reception
* Receive and log incoming postal samples
* Accurately book samples into our Laboratory Information Management System (LIMS)
* Follow Standard Operating Procedures (SOPs) carefully and accurately
* Raise any discrepancies promptly
Goods Inward and Stock Management
* Receive laboratory consumables and deliveries
* Maintain organised stock areas
* Monitor stock levels and notify management when reordering is required
Administration
* Maintain accurate and confidential customer and patient records
* Carry out basic book-keeping tasks in Xero (raising invoices, creating bills)
* Provide general administrative support to the Managing Director
* Weekly fire alarm checks
* Arranging collections with couriers and waste management companies
Team Collaboration and Continuous Improvement
* Work closely with laboratory staff to ensure smooth workflow
* Communicate clearly across teams
* Contribute ideas to improve efficiency, customer experience, and processes
* Review administrative SOPs and suggest practical updates when needed
SKILLS AND EXPERIENCE
Essential:
* A-Level in Biology (or equivalent experience)
* Previous experience in customer service and/or administration
* Excellent written and verbal communication skills
* Strong organisational skills and attention to detail
* Ability to prioritise tasks and manage workload independently
* Proficency in Microsoft Office (Outlook, Word, Excel)
* Good typing speed and digital confidence
* Ability to follow established procedures within a regulated environment
* Isle of Man worker status
Desirable:
* Degree in Biosciences (or equivalent experience)
* Experience in a laboratory, healthcare or regulated setting
* Experience with Shopify, WordPress or ticketing systems
* Familiarity with Xero
