Job Purpose: To provide accurate and efficient secretarial support within Obstetrics and Gynaecology, with a main focus on copy typing and audio transcription, ensuring high standards of confidentiality and service delivery.
The Duties
- Accurately type clinical and non-clinical documents, including copy typing and audio transcription.
- Prepare routine correspondence, letters, reports and memos.
- Maintain filing systems and manage confidential records and investigation results.
- Prioritise and sort test results for medical staff attention.
- Arrange meetings and prepare meeting materials.
- Answer telephone enquiries, including dealing with anxious patients or relatives, and liaise with wards and medical staff.
- Receive, sort and distribute mail and correspondence.
- Liaise with other departments and external hospitals.
- Update office guides and procedures as required.
- Support other secretarial staff and provide cover when needed.
- Report issues affecting the service to senior secretarial staff.
Essential Skills
- Accurate typing and word processing skills.
- Audio typing speed and accuracy.
- Good IT skills, particularly word processing.
- Strong communication and customer service skills.
- Ability to organise and prioritise workload.
- Tact, discretion and ability to maintain confidentiality.
- Ability to work calmly under pressure and as part of a team.
Desirable Skills
- Previous experience in a busy office or secretarial role.
- Knowledge of medical terminology.
- Qualification in text processing or audio transcription.
- Flexible approach to multi-tasking and learning new skills.
