Job Purpose: Provide high-quality administrative support within the Department of Home Affairs Executive Office, helping teams work effectively to keep the Isle of Man community safe.
The Duties
- Support the Chief Officer by helping produce papers for Tynwald business, Department meetings and Committee meetings.
- Support Committees, Partnerships, Boards, Forums and working groups, including arranging meetings and venues and preparing and circulating agendas and papers.
- Take accurate notes, produce minutes, share notes and minutes on time, and track follow-up actions.
- Provide day-to-day administrative support, including handling post and drafting and formatting correspondence, reports and presentations.
- Help with reporting requirements by liaising with colleagues across the Department and Government, researching, and collating or drafting information for plans and reports.
- Answer and respond to telephone enquiries and greet visitors.
- Monitor shared email inboxes and filter, direct or respond as appropriate.
- Support record keeping in line with policies and retention schedules, including improving and maintaining filing systems.
- Support the day-to-day running of the Executive Office, including handling enquiries and complaints.
- Act as a first point of contact for people appointed by the Department for statutory functions.
- Help maintain Department webpages with colleagues across service areas.
- Provide administrative support to Department-wide project work.
- Support information governance tasks, including data protection and freedom of information work as required.
- Carry out other reasonable duties within the scope and grade of the post.

Desirable skills
- Five GCSEs at Grade C (4) or above, including English Language, or equivalent.
- Experience working in an office environment with strong written and verbal communication skills.
- Experience of accurate note-taking and producing meeting minutes.
- Ability to manage competing priorities and escalate issues when needed.
- Motivated to provide high-quality administrative support.
- Isle of Man Worker status.
- Full, valid driving licence with access to own vehicle.
