Job Purpose: Provide administrative and secretarial support to clinicians in the Community Mental Health Service for Adults, helping the team organise appointments and deliver care efficiently.  

Duties:  
- Manage clinicians’ diaries and arrange clinics, appointments and home visits.  
- Handle enquiries from patients, families, carers and other professionals.  
- Prepare letters, reports and other documents.
- Update patient records and check information is accurate.
- Process correspondence, test results, prescriptions and medical paperwork.
- Arrange meetings, take minutes and distribute action points.
- Arrange patient travel when required.
- Provide cover for colleagues, including reception and general administration duties.

Essential Skills:
- Excellent computer skills, including Microsoft Office, and the ability to learn new systems.
- Strong written and spoken communication skills, with a sensitive and tactful approach.
- Excellent customer service skills and a friendly, confident manner.
- Good organisation and time management, with the ability to prioritise tasks and meet deadlines.
- Experience of handling sensitive information and a strong understanding of confidentiality, data protection and information security.
- Attention to detail and the ability to work accurately with minimal supervision.
- A calm, patient approach when dealing with changing workloads or complex enquiries.
- Reliability, self-motivation and flexibility, with a positive approach to working with colleagues.
- A satisfactory standard police check.

Desirable Skills:
- Five GCSEs, including English Language, or equivalent.
- Relevant typing, word processing or audio transcription qualifications, or Civil Service typing tests, with secretarial experience.
- Experience of working in an office or busy administration team.
- Experience of preparing agendas and taking minutes.
- Medical administration experience and knowledge of medical terminology.
- Understanding of the work of Integrated Mental Health Services.
- Knowledge of RiO or Careflow systems.
- Isle of Man worker status.
