Job Purpose: Join the Community Mental Health Service for Adults and provide administrative and organisational support to clinicians, helping them manage their caseloads and deliver an efficient service.
Duties:
- Manage clinicians’ diaries and help organise clinics and home visits
- Deal with enquiries from patients, families, carers and other professionals
- Maintain accurate patient information and records
- Prepare letters, correspondence and reports
- Process prescriptions and medical documentation
- Help obtain and record patient investigation results
- Arrange patient travel when required
- Arrange meetings and take minutes when requested
- Carry out checks and audits to ensure information is accurate
- Provide cover and support to other members of the administration team when needed
Essential Skills:
- Excellent computer skills, including Microsoft Office
- Strong written and verbal communication skills
- Good organisational and time-management skills
- Able to prioritise, multi-task and work to deadlines
- Excellent customer service skills
- Good attention to detail and able to work accurately with minimal supervision
- Able to learn new systems
- Calm and able to cope with changing demands and workloads
- Able to maintain confidentiality and work with discretion
- Friendly, confident, reliable and self-motivated
- Flexible approach to work
- Patient when dealing with complex or challenging situations
- Satisfactory police check
Desirable Skills:
- 5 GCSEs including English Language, or equivalent
- Qualifications in text/word processing or audio transcription, or relevant secretarial experience
- Previous experience of working in an office or busy administration team
- Experience of preparing agendas and taking minutes or notes
- Previous medical administration experience and knowledge of medical terminology
- Knowledge of confidentiality, GDPR and security awareness
- Experience of working with sensitive information
- Understanding of the work carried out by Integrated Mental Health Services
- Knowledge of RiO/Careflow systems
