Job Purpose: Provide friendly, efficient administrative support to everyone using the school site, including reception cover, handling enquiries, maintaining records, and helping facilities operate safely and smoothly.
The Duties
- Cover the front office reception and deal with enquiries in person and by phone.
- Carry out visitor sign-in procedures and security checks.
- Maintain manual and computerised school records.
- Support finance administration by processing orders, invoices and payments accurately.
- Handle sales and payments in office and canteen areas.
- Produce standard letters, reports and provide general administrative support.
- Support assessments and examinations, including invigilating when required.
- Order, store and monitor stock securely and support audits.
- Use office equipment safely and correctly.
- Support ICT, audio visual services and library loan systems.
- Prepare classroom materials, including for practical subjects.
- Support First Aid, Health & Safety and fire evacuation procedures (training provided).
- Help manage school lettings and liaise with user groups.
- Support school events and activities, including occasional evenings or weekends.
- Follow safeguarding, confidentiality, equality and health & safety policies.
- Provide cover for colleagues when required and support pupil supervision at breaks or activities.
Essential Skills
- Strong customer service skills with a professional and friendly manner.
- Good verbal and written communication skills.
- Good numeracy skills and attention to detail.
- Ability to organise workload and meet deadlines.
- Confident IT skills including email, Word and Excel.
- Ability to use initiative and solve problems.
- Willingness to complete required training.
- Reliable, flexible and able to work well as part of a team.
- Commitment to safeguarding and confidentiality requirements.
Desirable skills
- Experience working in a secondary school environment.
- Experience working with children or young people.
- Knowledge of school systems such as SIMS.
- First Aid qualification.
- Awareness of health and safety in schools.
- GCSE English and Maths (Grade C/4 or above) or equivalent.
- Isle of Man Worker status.
