Job Purpose: To support the Commercial Division’s Property Team in delivering property-related legal services across Isle of Man Government by managing a caseload of property and commercial matters, preparing and processing legal documents, maintaining accurate electronic case records, and providing general administrative support to Legal Officers and colleagues.  

Duties:  
- Take instructions from Government Departments and statutory boards and manage an allocated caseload of property and commercial work.
- Draft, format and process property-related legal documents (including agreements for sale, conveyances, transfers, leases, licences and land registration forms) under the supervision of Legal Officers.
- Support property transactions by completing searches, reviewing results, preparing standard correspondence and liaising with Advocates, government clients and other external parties.
- Prepare and submit applications to the Land Registry or Deeds Registry and respond to follow-up queries.
- Use the Legal Case Management System (LCMS) to open, update, track and close files, upload documents and search results, and monitor tasks and reminders.
- Help manage the LCMS client portal, templates and workflows, promoting effective use of LCMS across the Commercial Division.
- Assist with grants and loans work, including drafting and managing financial documents, preparing receipt or cancellation documents for registered charges, and ensuring accurate LCMS records.
- Support residential conveyancing matters by shadowing senior colleagues and taking on standard document drafting and routine casework as skills develop.
- Assist with leases and licences, including preparing and engrossing documents, managing simple renewals and extensions, maintaining property spreadsheets and KPI information, and keeping process maps and user guides up to date.
- Carry out or assist with property searches at Land Registry, Deeds Registry, Probate Registry, Companies Registry or Manx Museum and upload results to LCMS.
- Support commercial legal work by preparing and engrossing commercial contract documentation and drafting routine letters, emails and other documents for Legal Officers.
- Provide general administrative support including word processing, photocopying, filing and retrieval of papers, processing post, making deliveries and monitoring shared mailbox emails.
- Maintain filing and archive systems, including file opening, closing, retention and transfer to Public Record Office as required.
- Assist with preparing reports, executive summaries, case narratives and statistics for the Commercial Division.
- Provide holiday and sickness cover for other administrative or paralegal staff and undertake any other duties appropriate to the grade, as directed.
