Job Purpose: Support the Chief Minister and Chief Executive Officer’s Private Office by providing high-quality administrative, finance, secretarial and event support. You will help keep the office running smoothly, manage enquiries, coordinate meetings and events, and support information governance activities in a fast-paced government environment.  

Duties
- Act as a first point of contact for enquiries from the public, politicians and Government departments.
- Support the management of calendars, mailboxes and correspondence for senior leaders.
- Organise meeting rooms, refreshments and meeting arrangements.
- Provide finance and administrative support, including processing invoices and purchase card statements.
- Provide secretarial support for meetings, including preparing and uploading meeting packs.
- Help coordinate events and functions attended by senior government officials.
- Maintain office supplies and general office administration.
- Support compliance with Government policies and procedures.
- Assist with Freedom of Information, Data Protection and information governance requests.
- Support records management, archiving and document retention processes.
- Assist with the planning and delivery of government events and projects.
- Carry out other duties appropriate to the role when required.

- Good decision-making skills.
- Competent in Microsoft Office and general IT systems.
- Understanding of confidentiality and handling sensitive information.
- Flexible and adaptable when priorities change.
- Excellent interpersonal skills, including tact and diplomacy.
- Self-motivated, enthusiastic and resilient.
- Ability to remain calm under pressure.
- Understanding of how Government operates in the Isle of Man.
- Isle of Man Worker status.
- Satisfactory Police Check.

Desirable Skills
- Experience working in an office environment.
- Evidence of ongoing training and professional development.
- Experience reviewing and interpreting complex documents.
- Experience working with senior politicians, civil servants or senior officers.
- Interest in improving processes and ways of working

£28,426 - £34,289 pro rata per annum
