Job Purpose: To provide organised and reliable administrative and secretarial support to the Older Persons Mental Health Service, helping the multi-disciplinary team deliver assessments and treatment for people over 65 and those worried about their memory.
Duties
- Process incoming referrals, gather extra information from systems and ensure details are accurate.
- Liaise with clinicians regarding new referrals and allocations.
- Organise, prepare and circulate agendas and paperwork for bi-weekly MDT meetings.
- Take live minutes during meetings and update client records on RiO.
- Keep client information up to date including referrals, allocations, discharges and related updates.
- Prepare initial assessment packs for new clients.
- Maintain accurate service statistics including referral numbers and outcomes.
- Provide telephone and reception cover, greet clients and support enquiries.
- Review and update meeting templates and documentation.
- Help maintain a clear work manual for new or temporary staff.
- Provide cross-cover within the wider administrative team when needed.
- Follow Health & Safety guidance and complete relevant training and development.
Essential Skills
- 5 GCSEs (or equivalent) including English.
- Clear and confident communication skills with a wide range of people.
- Good IT skills and experience using databases.
- Ability to stay calm and professional in challenging situations.
- Able to work independently and as part of a team.
- Understanding of confidentiality, security awareness and GDPR.
- High level of accuracy and attention to detail.
- Reliable, flexible and self-motivated.
- Professional, resilient and able to handle sensitive information with integrity.
- Conscientious and proactive approach to maintaining high standards.
- Satisfactory Police Check.
Desirable skills
- Previous reception experience.
- Working knowledge of RiO or Medway systems.
- Isle of Man Worker status.
