Job Purpose: Provide high-quality administrative support to the Integrated Mental Health Services (IMHS) Management Team, helping to coordinate finance, recruitment, data management and day-to-day business activities to support the delivery of excellent mental health services.  

Duties  
- Provide administrative support across finance, recruitment, temporary staffing and data management.
- Process purchase orders, invoices and maintain financial records and spreadsheets.
- Assist with monthly reporting by collecting, checking and analysing data.
- Support recruitment by uploading vacancies, maintaining trackers and liaising with HR.
- Process paperwork for bank and agency staff.
- Organise meetings, interviews and events, including preparing agendas, taking minutes and distributing actions.
- Maintain policies, procedures, templates and induction documents.
- Respond professionally to telephone, email and face-to-face enquiries.
- Draft and edit documents, letters and reports.
- Maintain databases and electronic records, ensuring information is accurate and up to date.
- Book training courses and maintain training records.
- Arrange off-Island travel for staff, patients and family members when required.
- Log building maintenance issues using the Estates system.
- Provide administrative support to Mental Health Service teams during periods of increased demand.
- Ensure confidentiality and comply with GDPR and record management procedures.

Essential Skills
- Excellent IT skills, including Microsoft Office applications.
- Excellent written, verbal and interpersonal communication skills.
- Strong organisational skills with the ability to prioritise workloads.
- High level of accuracy and attention to detail.
- Ability to work independently and use own initiative.
- Experience working in an office environment.
- Ability to work effectively as part of a team.
- Professional, friendly and customer-focused approach.
- Reliable, resilient and adaptable.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Ability to meet deadlines and manage multiple tasks.

Desirable Skills
- Five GCSEs (Grade C/4 or above), including English Language.
- Experience working in a healthcare or clinical environment.
- Experience using databases and working with reporting or statistical data.
- Experience working with numerical data.
- Isle of Man Worker status.
- Satisfactory Police Check.
