Job Purpose: Provide administrative and coordination support to the Forensic Psychology Team at the Isle of Man Prison. You will work within a small professional team, helping them deliver psychological interventions and rehabilitation work with people in custody, with the aim of reducing the risk of reoffending.
Duties
- Provide administrative and secretarial support to the Forensic Psychology Team.
- Prepare and format letters, correspondence and other documents accurately.
- Arrange appointments and meetings and manage diaries.
- Maintain databases, spreadsheets, templates and other records.
- Provide administrative support for meetings, including preparing paperwork and taking minutes.
- Assist with monthly data collection and analysis using Excel.
- Answer enquiries in person and by telephone in a professional and positive manner.
- Monitor email inboxes and respond to or direct enquiries appropriately.
- Maintain accurate records on the Prison Information Management System (PIMS).
- Communicate directly with clients to support them as they complete their sentences.
- Help make referrals and liaise with colleagues, service providers and external agencies.
- Prepare reports, updates and presentations.
- Provide practical and administrative support for psychology programmes delivered in the Prison and community.
- Assist with invoices, procurement and other finance and estate administration.
- Support the management, retention and archiving of paper and electronic records.
- Assist with audits and reporting requirements.
- Undertake basic research and help gather information for reports and plans.
- Provide administrative support to the wider Prison and Probation Administration Team when required.
- Maintain strict confidentiality and handle sensitive information appropriately.
- Undertake training and development and contribute to improvements within the service.
