Job Purpose: Provide administrative and financial support to the Facilities Management Team, helping to deliver efficient customer service, maintain accurate records and support the smooth running of property maintenance and procurement activities.
Duties
- Provide administrative support to senior staff, technical teams and property managers.
- Process and log invoices, purchase orders and financial information accurately.
- Match purchase orders with invoices and ensure compliance with financial procedures.
- Assist with maintaining project codes and financial records.
- Support procurement activities and help manage contracts and contractor information.
- Provide helpdesk cover by responding to emails and telephone enquiries.
- Log maintenance requests accurately using the Facilities Management system.
- Maintain organised paper and electronic filing systems in line with GDPR requirements.
- Scan and file service reports and property documentation.
- Assist with timesheets, purchase card journals and other administrative tasks.
- Contribute to reviewing and improving office procedures and processes.
- Provide cover for colleagues and support the wider administration team when required.
Essential Skills
- Previous office administration experience.
- Good knowledge of Microsoft Office, including Excel, Word, Outlook and PowerPoint.
- Experience working in a customer service environment.
- Strong customer service skills and confidence when dealing with telephone enquiries.
- Excellent verbal and written communication skills.
- Ability to work effectively as part of a team.
- Ability to provide accurate and timely information.
- Flexible approach and ability to work under pressure.
- Good attention to detail and accuracy.
- Positive attitude with strong organisational skills.
- Ability to build positive working relationships.
- Professional, reliable and self-motivated approach.
Desirable Skills
- Experience using financial systems and processes, preferably within the public sector.
- Working knowledge of Axapta.
- Excellent organisational skills.
- Ability to make decisions and use initiative.
- Experience supporting procurement or contract administration.
- Isle of Man Worker status.
