Job Purpose: Provide efficient administrative and secretarial support to the Community Mental Health Service for Adults, helping the team deliver high-quality mental health services and ensuring the smooth day-to-day running of the department.
Duties
- Provide administrative and secretarial support to clinical and management staff.
- Manage appointments, meetings, diaries and travel arrangements.
- Prepare, format and distribute letters, reports and other documents.
- Maintain databases, spreadsheets and electronic records.
- Process referrals and update patient information systems.
- Prepare agendas, take minutes and support multidisciplinary team meetings.
- Assist with data entry and record management.
- Provide reception and telephone support, dealing with enquiries professionally and sensitively.
- Welcome clients attending appointments and direct them appropriately.
- Support specialist programmes and meetings by preparing materials and documentation.
- Provide administrative cover for colleagues and support wider mental health services when required.
- Maintain confidentiality and comply with GDPR and data protection requirements.
Essential Skills
- Excellent working knowledge of Microsoft Office, including Word and Excel.
- Strong IT skills and experience using databases and electronic systems.
- Excellent verbal and written communication skills.
- Strong organisational and administrative skills.
- Ability to work accurately with excellent attention to detail.
- Ability to communicate confidently and professionally with a wide range of people.
- Commitment to delivering excellent customer service.
- Ability to manage competing priorities and work to deadlines.
- Ability to work independently and as part of a team.
- Resilient and professional approach when dealing with sensitive information.
- Ability to learn new systems and processes quickly.
Desirable Skills
- Five GCSEs (or equivalent), including English Language.
- Previous experience working in an office environment.
- Knowledge of confidentiality, GDPR and information security requirements.
- Experience using RiO or Careflow systems.
- Isle of Man Worker status.
