Job Purpose: Provide admin and secretarial support to the Child & Adolescent Mental Health Service (CAMHS), helping the team run smoothly while supporting young people, families and professionals accessing the service.  

Duties  
- Handle calls, emails and visitors in a friendly and professional way  
- Update and manage patient records accurately on internal systems  
- Support inbox management and respond to enquiries where appropriate  
- Provide reception cover when needed, including face-to-face support  
- Organise meetings – prepare agendas, take notes and follow up actions  
- Book training, rooms and travel, and help prepare presentations  
- Track staff absences and maintain accurate records
- Help maintain policies, templates and documents
- Manage room bookings and schedules
- Process referrals and book patient appointments
- Support prescription admin tasks and liaise with GP surgeries
- Order supplies and manage invoices
- Scan, file and manage documents securely
- Sort incoming mail and distribute to the right people
- Work with the wider admin team to cover workloads when needed
- Produce reports and data to support managers
- Follow health & safety procedures and report issues
- Take part in training and support new staff when needed

Essential Skills
- Strong communication skills (written and verbal)
- Good attention to detail and accuracy
- Confident using IT systems and Microsoft Office
- Organised with good time management skills
- Able to prioritise tasks and work independently
- Friendly, professional and customer-focused attitude
- Able to stay calm under pressure
- Reliable, flexible and motivated
- Able to handle sensitive information confidentially
- Works well both independently and as part of a team
- Willingness to learn and meet deadlines

Desirable Skills
- GCSEs including English (or equivalent)
- Experience working in an office environment
- Experience using databases or admin systems
- Knowledge of GDPR and confidentiality practices
- Experience working in a small team
- Familiarity with healthcare systems (e.g. RiO or Careflow)
