Job Purpose: Provide general administrative support to Intermediate Care Services, helping the team run smoothly and provide a good service to service users, families, carers, staff and members of the public. You will help manage records, answer enquiries, process information and carry out a range of day-to-day office duties.
Duties
- Respond to emails and answer and make telephone calls.
- Deal with straightforward enquiries and pass more complex queries to the appropriate member of staff.
- Communicate professionally with service users, families, carers, staff and members of the public.
- Update service user and employee records accurately.
- Enter information onto computer systems following agreed procedures.
- Check service user records are complete and archive them correctly.
- Prepare, scan and quality-check documents for service user records.
- Process incoming and outgoing post.
- Maintain stationery, office supplies, leaflets and service information.
- Raise internal maintenance requests when required.
- Help organise meetings and book rooms.
- Support the induction of new staff, including organising uniforms and ID badges and introducing administrative systems.
- Maintain accurate staff training records and highlight any gaps to senior staff.
- Carry out general filing, archiving and clerical duties.
- Suggest improvements that could make administrative processes more efficient and improve the patient experience.
- Maintain accurate and confidential records and follow data protection requirements.
- Work within agreed procedures and your level of training and competence.
Essential Skills
- Basic clerical and communication skills.
- Competent IT skills, including effective use of Microsoft Office.
- Good written and verbal communication skills.
- Confidence communicating with people at all levels using tact and diplomacy.
- Good organisational and time-management skills.
- Ability to work effectively as part of a small administrative team.
- Good attention to detail and ability to work accurately.

Desirable Skills
- Five GCSEs at Grade C/4 or above.
- General office experience.
- Experience working with the public in a health setting.
- Experience dealing with telephone enquiries.
- Isle of Man Worker status.
