Job Purpose: To support the Finance Shared Services team by managing post, scanning and archiving documents, and providing general office support to help essential Government services run smoothly.  

Duties  
- Open, date stamp, sort and distribute incoming mail and record payments received
- Co-ordinate outgoing post
- Monitor office supplies and confirm re-ordering requirements
- Assist with processing vendor statements and follow up missing invoices or credit notes
- Complete daily banking tasks and check for accuracy before submission
- Provide general office support including photocopying, scanning, filing, shredding and preparing envelopes
- Maintain archive records, allocate reference numbers and track stored boxes
- Arrange movement of archive boxes to and from external storage when required
- Monitor shared inboxes and respond to queries
- Maintain accurate day-to-day filing systems
- Support other areas of the team when needed
- Follow all policies relating to confidentiality, data protection and health and safety

Essential Skills  
- Basic computer skills, including Microsoft applications
- Able to work quickly and accurately to meet deadlines
- Comfortable using scanning equipment (training will be provided)
- Able to work independently when required
- Accurate and reliable with good attention to detail
- Flexible and able to manage changing priorities
- Friendly and confident with a strong focus on customer service
- Good communication skills and able to build positive working relationships
- Able to work under pressure during busy periods
- Able to meet the physical requirements of the role

Desirable Skills
- Previous experience in an office environment, particularly filing or scanning
- Knowledge of office equipment such as copiers, scanners and printers
- Awareness of financial systems
