Job Purpose: Provide administrative support to the Patient Information Centre and Outpatients service. You will help manage patient appointments and waiting lists, maintain accurate information and provide day-to-day support and supervision to a small team of Administration Assistants.  
 
Duties  
- Provide administrative support to the Patient Information Centre Manager, Departmental Manager and wider team.
- Support and supervise the workload of a small team of Administration Assistants.
- Help ensure work areas have enough staff to meet the needs of the service.
- Deputise for the Patient Information Centre Manager when required.
- Use the Hospital Patient Administration System to maintain accurate patient information.
- Manage appointments, waiting lists, admissions and patient details.
- Book new clinic appointments and fill cancelled appointment spaces.
- Ensure clinic changes are processed accurately and promptly.
- Check outpatient hold lists and liaise with consultants about waiting lists.
- Liaise with patients, hospital staff, GPs, other hospitals and Government departments.
- Write and update procedures for the Patient Information Team.
- Undertake Administration Assistant duties when required.
- Maintain high standards of confidentiality and data protection.
- Follow health and safety and risk management procedures.

Essential Skills  
- Experience working in a customer service environment.
- Understanding of confidentiality and data protection.
- Good interpersonal skills.
- Very competent using Microsoft Word, Excel and Outlook.
- Ability to learn and adapt to new computer systems.
- Ability to work under pressure and adapt to changing demands.
- Commitment to high standards and accuracy.
- Methodical approach with good attention to detail.
- Reliable, enthusiastic and committed to delivering a quality service.
- Satisfactory police check.

Desirable Skills
- Five GCSEs at Grade C/4 or above, or equivalent, including English Language.
- Relevant experience working in an office environment.
- Experience of data entry.
- Good written and verbal communication skills.
- Good organisational skills and accuracy.
- Ability to work on your own initiative and as part of a team.
- Isle of Man Worker status.
