Job Purpose: Provide full administrative support for the Out Patients service within the Patient Information Centre, including maintaining patient and appointment records, liaising with staff and patients, and supervising a small team in a busy environment.  

Duties
- Support the Patient Information Centre Manager and Departmental Manager.  
- Supervise and support a small team of administration assistants, ensuring work standards and priorities are met.
- Deputise for the Patient Information Centre Manager when needed.
- Ensure work areas are adequately staffed to meet service needs.
- Carry out Administrative Assistant duties when required.
- Write and update procedures for the Patient Information Team.
- Use the Hospital Patient Administration System to maintain accurate appointments, waiting lists, admissions and patient demographic details.
- Liaise with hospital teams, other hospitals, patients, government departments and GPs.
- Book new clinic appointments and fill cancelled appointment spaces.
- Action clinic changes effectively, accurately and on time.
- Support Patient Information Centre processes within the Medical Secretary teams.
- Check Out-patient hold lists and liaise with consultants regarding waiting lists.

Essential Skills
- Experience working in a customer service environment.
- Strong interpersonal skills.
- Confident, highly competent IT skills, including Microsoft Word, Excel and Outlook, and able to adapt to new systems.
- Ability to work under pressure and respond to changing demands.
- High standards of accuracy and attention to detail, with a methodical approach to work.
- Reliable, enthusiastic and driven to deliver quality services.
- Satisfactory police check.

Desirable skills  
- 5 GCSEs at grade C (4) or above (or equivalent), including English Language.
- Experience working in an office environment.
- Experience of data entry and handling confidential information.
- Good written and verbal communication skills.
- Strong organisational skills and accuracy.
- Ability to work on your own initiative and as part of a team.
- Isle of Man Worker.
