Job Purpose: Provide admin and reception support to the Dietetics Therapy Service to ensure the smooth running of the department, including patient contact, appointment booking and maintaining administrative systems.  

Duties  
- Provide a welcoming reception service and respond to telephone and email enquiries in a prompt and courteous manner.
- Book, amend and cancel patient appointments using computerised systems and maintain appointment diaries to maximise clinic capacity.
- Open, sort and process incoming mail, including scanning and uploading to records and directing to the correct staff.
- Accurately screen and process referrals and update electronic patient records in line with procedures.
- Provide typing and word processing support, including clinical letters, reports and meeting minutes when required.
- Support clinicians and the team lead during busy periods and provide cover across Therapy admin teams when needed.
- Arrange patient transport and interpreter services as required.
- Maintain filing, archiving, photocopying and printing systems.
- Monitor and order stationery and supplies in a cost-effective way, including purchase card transactions.
- Assist with monthly data collection and basic analysis using Excel.
- Direct complaints or concerns to the appropriate team lead and support follow-up if required.
- Handle confidential information appropriately and follow legal processes such as Subject Access Record requests.

Essential Skills  
- Good customer service skills with confidence dealing with patients and colleagues.
- Accurate keyboard skills.
- Confident using Microsoft Word, Excel and email.
- Clear written and verbal communication skills.
- Strong organisational skills with the ability to prioritise workload.
- Ability to work well as part of a team and use own initiative.
- Calm and assertive when under pressure, with attention to detail.
- Ability to work within set boundaries and follow procedures, including confidentiality.
- Satisfactory police check.

Desirable skills
- 5 GCSEs at Grade C (4) or above including English Language, or equivalent.
- Previous office experience.
- Experience taking minutes in meetings.
- Experience using databases, medical records or computerised appointment systems.
- Isle of Man Worker status.
