Job Purpose: Provide reception, administrative and secretarial support to Children's Therapy Services, helping to ensure the smooth running of the department and delivering a welcoming, efficient service to patients, families and colleagues.  

Duties  
- Act as a first point of contact for patients, families and visitors, both in person and by telephone.
- Manage appointments, maintain diaries and support patient booking systems.
- Provide reception and administrative support to the Therapy Team.
- Process referrals and maintain accurate electronic patient records.
- Manage incoming emails, correspondence and documentation.
- Organise patient transport and interpreter services when required.
- Prepare letters, reports, meeting minutes and other documents.
- Support data collection and reporting using spreadsheets and databases.
- Maintain filing, archiving, photocopying and record management systems.
- Order stationery and supplies and help maintain stock levels.
- Ensure patient confidentiality is maintained at all times.
- Provide administrative cover and support across Manx Care sites when required.

Essential Skills
- Previous customer service experience.
- Experience using computer systems and maintaining electronic records.
- Good keyboard and IT skills, including Microsoft Word, Excel and email.
- Strong communication and interpersonal skills.
- Excellent organisational and time management skills.
- Ability to work accurately and pay attention to detail.
- Ability to prioritise workload and work within set procedures.
- Team player with a flexible and professional approach.
- Ability to remain calm and work effectively under pressure.
- Ability to use initiative and make day-to-day decisions.

Desirable Skills
- Previous experience working in an office environment.
- Experience taking minutes at meetings.
- Experience using appointment booking or medical record systems.
- GCSEs (or equivalent), including English Language.
- Isle of Man Worker status.
