Job Purpose: To provide fast, accurate and confidential administrative support to the Children & Families Initial Response Team (IRT) and Multi Agency Safeguarding Hub (MASH). You will help make sure referrals are processed on time, records are kept up to date and teams are supported so they can protect and support vulnerable people effectively.
Duties
- Provide day-to-day admin support to the IRT and MASH teams.
- Distribute referral outcomes within statutory timescales.
- Manage and distribute mail, reports and summaries to relevant professionals.
- Keep accurate and up-to-date electronic records using systems such as LiquidLogic, RiO, Word, Excel and email.
- Arrange meetings, book venues, send invites and securely issue agendas and minutes in line with GDPR.
- Answer and redirect telephone calls in a calm, professional and empathetic way.
- Proofread records, assessments and letters as required.
- Anonymise documents in line with guidance from Social Work colleagues.
- Ensure urgent correspondence is dealt with quickly.
- Provide cover for other admin colleagues when required.
- Support other teams when necessary to maintain a high standard of service.
- Upload documents and outcomes to service user records, including support to Adult Safeguarding where needed.
- Maintain confidentiality and handle sensitive information appropriately.
- Process invoices and book travel or accommodation when required.
- Follow health and safety guidance and report any risks or concerns.

- Confident dealing with people at all levels in a professional manner.
- Experience maintaining confidentiality and handling sensitive information.
- Ability to work accurately with good attention to detail.
- Reliable, self-motivated and able to work as part of a team.
- High level of integrity and professionalism.
- Satisfactory Police Check.
Desirable Skills
- 5 GCSEs (or equivalent) at grade C (4) or above.
- Experience taking notes in meetings, including complex meetings.
- Experience working in an administrative office environment.
- Working knowledge of Microsoft Office (Word, Excel).
- Isle of Man Worker status.
