Job Title:  Personal Secretary - Clinical Secretarial Co-Ordinator - Trauma & Orthopaedics

Job Purpose:  Provide secretarial and administrative support to Consultants and manage a team of secretarial staff. Coordinate workloads, schedules, and ensure the efficient delivery of clinical administrative services.

Key Responsibilities:  
- Secretarial Support:
- Manage Consultants' diaries, clinic schedules, and patient follow-ups.
- Draft and process correspondence, including confidential letters.
- Organize routine admissions and liaise with hospital departments.

Team Management:  
- Supervise and train Clinical Secretaries and Senior Secretaries.
- Conduct appraisals, address staff issues, and ensure high work standards.
- Arrange team meetings, set agendas, and delegate tasks.

Administrative Oversight:  
- Maintain patient records, waiting lists, and ensure adherence to guidelines.
- Handle public and patient inquiries, resolving complex situations.
- Collaborate with various departments to improve service efficiency.

Training and Development:  
- Provide guidance on systems and procedures for staff and students.
- Support the professional development of team members.

Essential Skills and Qualifications:  
Qualifications:  
- GCSE English (Grade C or above) or equivalent.
- Advanced text processing qualification (e.g., OCR or RSA).
- Experience with audio transcription.

Experience:  
- Proven background in audio typing and administrative work.
- Customer-facing experience and team management.

Skills:  
- Proficiency in IT (Outlook, Word, Excel) and database use.
- Strong organizational and interpersonal communication skills.
- Ability to manage tight deadlines and prioritize workloads effectively.
- Knowledge of medical terminology.

Disposition:  
- Calm under pressure, reliable, and flexible.
- Team-oriented with strong leadership abilities.

Desirable Skills:  
- Knowledge of Isle of Man Government policies.
- Previous experience in healthcare administration.
- Additional qualifications in team leadership or customer service.
