Job Purpose:
Provide administrative and secretarial support to the CAMHS team, ensuring smooth operations and excellent customer service. The role involves handling communications, scheduling, data entry, and general administrative tasks while interacting with patients, carers, and professionals.
Key Responsibilities:
- Manage telephone, email, and face-to-face inquiries courteously.
- Maintain accurate patient records in the RiO database.
- Support meetings by preparing agendas, taking notes, and handling follow-ups.
- Process referrals, book appointments, and maintain records.
- Order office supplies and coordinate room bookings.
- Handle incoming and outgoing mail, prescriptions, and invoices.
- Provide cover for reception and other admin team members as needed.
- Ensure compliance with confidentiality, GDPR, and health & safety policies.
- Participate in training, appraisals, and professional development.
Essential Skills & Qualifications:
- 5 GCSEs including English or equivalent
- Strong IT skills (Microsoft Word, Excel, databases)
- Excellent communication and interpersonal skills
- Attention to detail and accuracy in work
- Ability to prioritize tasks and work independently
- Experience in an office environment
- Understanding of confidentiality, security, and GDPR
- Professional, organized, and adaptable
Desirable Skills:
- Experience with RiO and Careflow patient systems
- Previous administrative experience in healthcare or public sector
- Knowledge of Isle of Man government processes
- Resilience and ability to handle sensitive issues
