Job Purpose: Provide reception and administrative support for the Community Dental Service, acting as the main contact between patients, dentists and the wider team, and managing appointments, queries, referrals and related clinic administration.
Duties
-Oversee reception and be the first point of contact for patients, dentists and the dental team.
- Manage the appointment system (including emergencies and cancellations) and send text reminders.
- Handle queries by phone, email and face-to-face; monitor shared email and fax inboxes.
- Process monthly dental claims not accepted by NHSBSA; ensure PRIOM forms are completed; update patient charges and order stationery when required.
- Check laboratory delivery notes against invoices; match invoices to work received and raise purchase orders.
- Compile data reports and background mapping using dental software; complete monthly checks of open courses of treatment for each dentist.
- Track and follow up referrals (e.g., special care, oral surgery) as requested by the Practice Manager.
- Collate complaint data in line with procedures; keep mandatory training up to date and take part in performance reviews.

Desirable skills
- 5 GCSEs at grade C/4 or above, including English and Mathematics.
- Experience/knowledge of dental services.
- Experience working with financial data.
- Experience working with data/spreadsheets.
- Customer service experience, including handling complaints.
- Isle of Man Worker.
